Welcome to Oakwater Escapes (OE), we want everyone who stays with us to have a fun-filled and safe holiday experience, so these terms and conditions are in place to keep our guests, ourselves, and our animals safe. Please make sure you read them carefully, as by booking a break with us you are agreeing to our terms and conditions. If you have any queries or need any further information, please contact us.

 

We strongly recommend you take out your own holiday insurance.

Booking, Cancellations and Payment

 

1. Cancellations must be made in writing (email accepted). If made up to 28 days before arrival your £50 deposit will be retained as a cancellation fee. If cancelling between 28 days and 7 days of your arrival date 40% of the total cost of your stay will be retained as a cancellation fee and the remaining payment will be refunded. If you cancel up to 7 days before your arrival date unfortunately no refund will be available. *

2. A non-refundable and non-transferable £50 deposit must be paid at the time of booking which will be deducted from the remaining balance; the remaining balance will be due 28 days before arrival. If the booking is made within 28 days of the check in date, then the full balance will be due upon booking. If the remaining balance of the cost of your stay is not paid on or before the due date your deposit will be held, and your booking will be void. *

3. An additional £50 security deposit will be taken 28 days prior to your arrival (or at time of booking if this is less than 28 days from your arrival). This will be returned in full within 48 hours of your departure if there are no unexpected or additional breakages or damage to the property and furnishings. *

If any additional cleaning is required outside of our expected procedure this will be communicated and explained to the customer via email using photos and money will be deducted from the security deposit to cover this.     

* Rules 1 t0 3 ONLY apply to bookings made direct with Oakwater Escapes.  These do not apply to bookings made with online booking platforms

4. OE are unable to control the weather traffic, vehicle problems, personal circumstances and in the event you are unable to arrive for your booked break then OE are unfortunately unable to offer a refund and the normal cancellation policy applies.

5. Oakwater Escapes reserves the right to refuse access to any guest exhibiting unacceptable or anti-social behaviour and in such an there will be no reimbursement of the booking fee.

6. No pets are allowed in Waters Edge Lodge. One dog is permitted to stay in Cedar Lodge per visit and an additional charge of £30 will be made to cover this. Dogs listed on the dangerous dogs act are not permitted to stay

7. OE do not accept bookings for any persons under the age of 18

8. OE reserve the right to refuse, cancel or refund any booking.

9. OE strongly recommend you take out your own holiday insurance.

 

On Site

 

1. All accommodation is non smoking so please smoke away from any open doors and windows and dispose of any cigarette ends in the outdoor ash buckets provided.

2. Dogs must always be kept on a lead around the site, cleaned up after, not allowed on the furniture or left unaccompanied in the accommodation or vehicles.

3. Disposable BBQs are not permitted.  However charcoal BBQs are provided, please bring your own charcoal. There are ash buckets provided on site to safely dispose of any hot ashes.

4. Out of respect to other guests, neighbours and the countryside OE ask that  noise is kept to a minimum between 10.30pm and 7am

5. Fireworks and Chinese lanterns are strictly prohibited. These are very scary for the animals and can cause grave damage to the countryside and wildlife.

6. Please take extra care when using the bio ethanol fireplace in your unit. One container of fuel is left for use and more can be purchased on site, your first bottle is included in your break. Please do not leave your accommodation without first extinguishing the fire.

7. Please ensure you thoroughly read through the instructions for the wood fired hot tub which is included in your booking prior to use. These are included in your arrival email and can be found within the guest information folder inside your accommodation. OE cannot be held responsible for any injury. Any damages will be your responsibility and it is your responsibility to ensure the hot tub is used safely, correctly and maintained during your stay. If you're unsure on lighting or maintaining your tub or have any problems, please get in touch and OE will be happy to advise. OE provide a log store with enough kindling, firelighters and logs for at least two uses. Any additional logs can be purchased on site 

8. OE cannot accept any responsibility for any loss or damage to personal property whilst on site. 

9. Please take extra care around any animals, do not enter their enclosures at any time. The animals may bite. Please wash your hands after touching the animals.

11. Day visitors are not permitted without express permission provided by the owner prior to arrival

12. There is one parking space per holiday unit. All vehicles and contents are left at the owners’ risk. 

13. Plug sockets and charging points in your accommodation are limited to 5AMP only anything above this will trip out the electrics. Please be aware OE run a sustainable solar energy solution in our lodges and all visitors will be able to monitor and manage their own supply via an online app 

14. Swimming in Willow Pool is strictly forbidden. 

 

Checking in and checking out

 

1. Check-in and check-out times are as stated on your booking confirmation. Check Out is by 10am and check in from 3pm. 

2. If you haven’t left your accommodation by the time stated there is £30 late check out fee.

3. Additional charges will be incurred for any damages. Although OE do understand that accidents can happen which may result in some minor damages, please let us know during your stay should anything unfortunately occur.

 

Finally, all persons using the site and its facilities do so at their own risk. No responsibility is accepted by the owners for personal injury or inconvenience, loss or damage to personal property, including vehicles.
